Adjournment A NDOVER 4 1 Comm�rrr� ��t�fer Community Center Advisory Commission Meeting Minutes Monday, November 14, 2011 6:00 pm Andover YMCA Community Center Meeting Room B In Attendance: Tony Howard, Erick Sutherland, Kate Morphew, Frank Kellogg, Allison Boes, Ted Butler, Monica Hamling (AHYHA Secretary). Absent: Jason Hemp Call To Order 6:02 pm Approval of Minutes — September 12, 2011 minutes approved as written. YMCA Update The YMCA membership numbers were above goal for October 2011. Studio floors were re -done as the clear- coating did not take the first time around. The YMCA is also looking at alternative flooring options for their locker rooms — they currently have carpet and when it becomes damp, it begins to have odor. The new operating system continues to give be fine tuned and adjusted to meet the Y's needs. Family nights have been very well received and between75 -100 people are participating each month. Harvest Fest was again a huge success even though offered on weekday night this year. Estimated attendance was between 300 -400 individuals, the Andover Lions assisted in sponsorship again this year. New staff have been added, Fitness Director, Luke Miska and Sr. Aquatics Director, David Benson. Allison would like to continue researching the Personal Pricing Plan options for members where they could offer the field house and ice arena to Y members for xx amount per month. They YMCA continues to offer families with financial assistance when needed. The YMCA will be including at article in an upcoming newsletter regarding the YPartner Program and financial needs. The after school program continues to do well, around 50 -60 kids are taking the bus home after school from the Andover YMCA Community Center. Staff Update Reviewed the staff status report. Other Business AHYHA Update: AHYHA season began today. Current 2011/2012 participants came in at 437. Teen Center Tour: Tour will not be held in December, it will be schedule for the first part of 2012. Andover YMCA Community Center Advisory Commission November 14, 2011 Page 2 Commission Member Terms: Andover City Council has met and are revising the terms for advisory commission members. The end of the year, positions will be either re -newed or re- assigned. Parks Update: Artifical turflsprprts dome has had an overwhelming response and the city is moving forward to create a task - force. City Council Workshop: Erick presented to the council the year -in- review. Job well done. Next meeting, December 12, 2011 will be at a local venue for our holiday meeting, more details to follow. Ice Arena Conference Room DATE: December 12, 2011 I have received a request from Bernie Knox with MN Hometown Hockey to lease the Ice Arena Conference Room and turn it into an off -ice training space. MN Hometown Hockey currently is scheduled to rent 140+ hours of ice time this coming spring and summer. Hometown Hockey is made up of Andover Mites and Squirts. This program gives them an opportunity to continue skating and developing during the off season. Mr. Knox will be attending this meeting to discuss this item. While I understand the need for an off- ice training area and lots of facilities are now including these types of spaces in their facilities I do have a few concerns about this proposal. • This is the last space we have. It does sit empty a fair amount but it is the overflow when needed. • Overall size of the space seems small. I don't want workouts making their way into the locker room hallway or bleacher area. • AHYHA try -outs use the room for 4 weeks in October for an office space. • AHYHA hospitality room for tournaments. • Andover High School hospitality room for parent's nightisenior night. • During the 6 weeks of summer hockey camps the room is used as bag storage for the kids. There are a fair amount of kids that ride their bikes to and from camp and without a place to leave their equipment that wouldn't happen. • We have used it as an extra locker room during Alaska Avalanche try -outs and the girls Ice Cat's tournament. • AHYHA meetings if Room A &B is booked. • I did receive a similar request prior to Mr. Knox's from the Andover High School Boys Team. When I indicated that they couldn't keep the room year round they decided against it, but if we a going to consider Mr. Knox's proposal do we owe it to the high school team to bring them back into the discussion. Again, I completely agree that an off -ice training area would be a benefit to a lot of our users; I'm just not sure we currently have the space needed to make it happen. If we did decide to go ahead, some of the questions I would have would be lease agreement, rent, and liability of having kids working out in our facility, which' s responsible and carries the insurance. I'm also not sure all our users including AHYHA, Andover High School and groups like MN Hometown Hockey are on the same page as far as what sort of fitness equipment would go in that space.
