Call to Order - 7:04pm Attendance: Frank Kellogg, Mike Knight, Erick Sutherland, Jamie Durand, Andrea Thompson, Jim Dickinson, Devon Walton (arrived at 7:13 p.m.) Guests: Ann Deluca, Courtyards of Andover and Council Member Julie Trude Not Present: Linda Blackmore and Todd Schoffelman , I Introductions/Announcements: Welcome Jamie Durand, Vice President of AHYHA. Jamie will now be representing AHYHA on the Advisory Committee and Dan Terhaar, AHYHA will be an Ex-Officio member of the Advisory Council and will continue to receive future meeting minutes and meeting packet materials. Also introduced, Cindy Ramseier, Administrative Assistant, Andover Community Center. Cindy's work schedule is Monday - Thursday, 9:30 a.m. - 4:30 p.m. New main phone number for the Andover Community Center is 763-767-5100. 2. Approval of Minutes - Monday. Ocl10, 2005 Minutes approved as written. 3. Meeting Room Rental Update \ . J The commission recapped the request from a local Boy Scout Troop that wanted to reserve Community Rooms A & B every Tuesday evening, for an indefinite amount of time. Per Linda Blackmore, a commitment for that period of time would not work with the YMCA scheduling. Erick has been in-touch with the troop and has offered other alternatives for their meeting space. Erick will follow up with Andover YMCAfCommunity Center Advisory Committee Minutes November 7, 2005 Page 2 / Kathy from the boy scout troop next week after the troop has met with the school district to see where they've decided to hold future meetings. Mike Knight questioned if the YMCA could use some of their studio rooms for classes or meetings if the community rooms are already reserved. Frank Kellogg would like to discuss with Jim Dickinson to see if the YMCA would be open to future requests if groups were only allowed to book for 2 or 3 month intervals much like some of the other area businesses who have meeting rooms available to reserve (i.e. Festival Foods and Anoka County Libraries). Mr. Kellogg would like to revisit this option at the next meeting. Request was made by Erick to move to Other Business Ann Deluca, Courtyards of Andover was introduced. She was in attendance to discuss how the city and her business could work together, rather than competing to book similar events. It was discussed that the Community Center and Courtyards have two very different capabilities and that we could compliment each other when available and refer individuals to each other's locations. Ms. Deluca will be contacting Erick to set-up a meeting to discuss future business relationships between the Courtyards and the Community Center. / Mr. Kellogg would like to see the city host a meeting inviting private area businesses to discuss how they could also form joint ventures with the Community Center. Mr. Kellogg suggested that Will Nueimester, City of Andover, Community Development Coordinator also be involved in coordinating this meeting. Jim Dickinson reminded everyone that the #1 goal is to keep events in Andover!! 4. Discount Rates - Last Minute Sales Erick presented a handout outlining heating and electrical costs - identifying what dollar amount it costs to have facility open and what monetary amount we would need to charge to break even. A concessions stand analysis was also done, see attached. The commission decided to allow Erick to use his discretion on when a last minute sale discount would apply, keeping in mind that cost can not be below $20 per hour/per court and that it should not be booked any further out then 7-10 days. Mr. Kellogg would like to have Erick keep track of individuals or groups going after discounts to look for trends. Andover YMCAfCommunity Center Advisory Committee Minutes November 7, 2005 Page 3 5. Event Calendar Update A handout was distributed indicating all events currently scheduled at the ice arena and fjeld-house. This event schedule is also posted on the Community Center website page as well as the bulletin board at the Community Center near the concessions. 6. Other Business Continued Dress code at Community Center - Jamie Durand asked if there were any rules regarding dress code. Mr. Durand had been at the Community Center and noticed teenagers out in the main hallway without shirts. Erick was made aware of the situation as well and had distributed a memo to staff, encouraging them to watch for this and other rule violations. If users don't abide by rules, they will be escorted out of the building. Additional Outdoor Ice Rink - Mr. Durand had expressed that the Traveling AHYHA teams are short 280 ice hours this season. He was wondering if the city has any space to erect a new outdoor lighted ice rink with boards that also can be zambonied. AHYHA had more than 400 kids sign up this season and it's estimated that it'll grow by 60 kids per year. Devon Walton suggested that lights be added to the parking lot of Sunshine Park and the rink be put on the asphalt parking lot. The lights would be beneficial year round. Other sites brought up were other areas at Sunshine Park, City Hall Park parking lot, drainage pond and soccer field next to City Hall. Jim Dickinson and Erick Sutherland will follow-up with appropriate depts. to check feasibility. Next Meeting Scheduled for Monday, November 21,2005 at 7:00 p.m. 7.
