Call to Order -7:00 / Attendance: Mike Knight, Dan Terhaar, Devon Walton, Andrea Melberg Thompson, Todd Schoffelman, Linda Blackmore, Frank Kellogg, Traci Warnberg-Lemm, Jim Dickinson and Erick Sutherland. 2. Approval of Minutes - Monday May 2,2005. May 2nd minutes were approved, with one modification. The minute incorrectly had Linda Black more attending. 3. Review Advisory Commission By-Laws Mr. Dickinson reviewed with the Commission the changes made to the by-laws. The Commission recommended to the City Council that the by-laws be approved as presented. 4. Discuss Field House Usage A. YMCA Usage Linda Blackmore and Jim Dickinson discussed the potential opportunities for the YMCA to utilize the field house for programs and for walking and jogging. The Commission indicated it was important to continue to work with the YMCA. / B. Walking Prcigram The Commission discussed the pros and cons of a fee for service walking program. Overall the Commission was supportive of not charging for walking and jogging, but wanted staffto research the potential of business sponsorship. In addition further discussion will be needed in regards to age bracket, fee structure, and times of day. C. Rental proposals The commission recommended approval of a one year contract for non prime to Andover High School, for field house use. The hours are 3:00-5:0Opm from mid - September to mid-May at a rate of$30.00 per court hour. This was a negotiated rate for the high school. Prime rates are $35 per court hour from 5-1 Opm during the week. Discussion centered on only approving two courts at this time for the high school. The commission would like the remaining court to be left open for open gym programs. The commission would like staff to use the third court ofthe field house between 3:00pm-5:00pm from mid-September to mid-Mayas an open-gym program. The proposal from the volleyball club was put on hold; staff was directed to quantify the number of Andover participants. Staff was directed to send a letter out to the local associations to survey them fro interest in renting the facility. Staff will hold a meeting with the associations at 6:00pm on May 23, 2005. D. Rental Guidelines The Commission felt that the scheduling priority should be Andover based association and schools first, YMCA second and outside Andover groups third. 5. Construction Update and Schedule Mr. Dickinson discussed the construction schedule with the Commission. 6. Advisory Commission Open Discussion The Commission indicated they would like to start discussion on the concessions at the next meeting. 7. Other Business There was none. 8. Adjournment - 08:55pm
