Call to Order -7:00pm " , ) Attendance: Mike Knight, Todd Schoffelman Linda Blackmore, Frank Kellogg, Andrea Melberg-Thompson, Traci W amberg- Lemm, Erick Sutherland. 2. Approval of Minutes - June 1,2005 minutes approved as written 3. After School Youth Programming - Traci with Youth First made a presentation on possible staffing and programs that could be made available at the YMCA/Community Center. As it stands now, staff is available 1-2 days per week. There are ways that the city may be able to up that to 3-4 days per week, through gambling funds, or other sources. The commission expressed an interest in the partnership and has asked Traci to continue working on ideas for the program. Mr. Kellogg requested that Traci find out what sort of programs are offered at the local schools, so we can complement those programs and not compete. Traci will follow up with more ideas at the next meeting. 4. Community Center Staffing - Mr. Sutherland discussed where the staffing is as of today, and explained that we are under budget for 2005. Staffing seems to be in-line with our projections for 2006. The Concessions Supervisor position is posted and will close on Fri. June 17,2005. , \.~ , ) 5. Facility Usage - Mr. Sutherland updated the commission on the rental request letter that was due back on June 3r ,2005. The only groups to show interest as of that date are the Anoka Jr's Volleyball group and Roger Welk's Volleyball group. The commission made the following motion. Ms. Blackmore made a motion to go ahead and schedule the court times to the above-mentioned users. Second by Mr. Schoffelman. The motion carried unanimously. Mr. Sutherland will go ahead and start the scheduling process with the above-mentioned groups. 6. Joint Operations - The commission was updated on the joint operation of the facility. Mr. Sutherland stated that the YMCA is working on a bid for cleaning of the facility, and that information will be forwarded once it's received. 7. Other Business - Mr. Knight talked about equipment/games he would like to see brought into the facility for the after school kids (pool tables, ping pong, air hockey) City staffwill review the budget and come back with options on possibly purchasing some additional games. Security in the parking lots and facility was discussed. City staff will continue to monitor security procedures and work on ways to make the facility safe. , " 8. A meeting was held with interested parties on May 23rd. The deadline for filed house usage requests was June 3rd. A staff report and various policies and procedures were distributed at the last meeting soliciting individual comments on the policies for 1 staff to review and modify the policies and forms. To date no comments have been received. \,-~~I DISCUSSION The following attachments were distributed at the last meeting: 1. Andover Community Center Rental Policy 2. Room Rental Application Form 3. Prioritization Of Use For Facility Areas 4. Event Evaluation Form 5. Summer Hockey Camps 2005 6. Learn To Skate Program - Winter 2005 7. Community Center - Ice Arena / Field House Contract 8. Nightly Inspection Sheet 9. Gate Revenue - Cash Balancing Sheet 10. Concession Cash Balancing Sheet The aforementioned attachments are some policies and procedures currently in place. Staff will proceed forward with the aforementioned policies and forms and report back to the Commission at future meetings as to how the policies and forms are working. .'
