Adjournment A NDOVER� &9"mnifjr Cer�fer Community Center Advisory Commission Meeting Minutes Monday, September 14, 2009 6:30 pm Andover Community Center, Meeting Room B Call to Order — 6:30 pm Attendance: Mike Knight, Erick Sutherland, Kate Morphew, Frank Kellogg, Mike Quigley, Greg Voss Absent:Ted Butler, Tony Howard Approval of Minutes — August 17, 2009 — approved as written. AHYHA Jr Huskies Iee Bill Request — Mr. Aaron Gardner did not attend the meeting, therefore this item will be tabled to the October 12, 2009 advisory meeting. Ms. Kate Morphew requested that Mr. Sutherland contact Mr. Gardner and ask him to provide the commission the total number of Andover residents who participated in the last two sessions (summer and late summer '09 sessions) of Jr. Huskies, how many of those individuals chose to sign up for mites 09/10 season. Surveys — The commission discussed the survey and approved with the following changes. Revise the deadline to submit surveys for prize drawing to November 23` Also identify that all prizes will be awarded/drawn by November 30`". Surveys will be distributed through the Andover Today Newsletter as well as available on the city's website. Hard copies of the survey's will also be available at both the ACC information desk and the YMCA member desk. Everyone is welcome to complete the survey, Andover residents will only qualify to win prizes. After the survey's have been compiled, a summary of the survey results will be shared with staff, advisory commission and the Andover City Council. Staff Update Andover YMCA Update - Greg Voss indicated that the YMCA is in the process of receiving many new pieces of exercise equipment. The equipment is on a lease agreement and every 2 years new equipment will arrive. Many of the new machines will include individualized TV monitors and Ipod plug -in features. The Andover YMCA also hosted a Les Mills group fitness training here at the Community Center Field House, approximately 150 fitness instructors from YMCA's throughout the state attended the training. The 2009 YMCA Budget needs to be reduced by $50,000 and the YPartners campaign is also facing a financial shortfall. Greg mentioned that a Wine Tasting Event will be held on Thursday, November 5 with proceeds going towards YPartners. Advance ticket sales are $40 and are available at the YMCA membership desk. Mr. Voss also indicated over the past three to four months, that the Andover YMCA has eliminated 6 full time positions with the most recent staff position being a member of aquatics. Andover YMCA Community Center Advisory Minutes Continued September 14, 2009 Page 2 Mr. Voss spoke about a program called Pioneering Healthy Communities which helps obesity in Teens and Youth and thought the community center would benefit in partnering with this program. A meeting will be scheduled in early 2010. Greg will keep the committee up -to -date. P& L August 2009 — Handed out — Mr. Kellogg would like more time to review and will discuss at the October meeting. After School Activities /Game Plan — The Commission discussed the new code of conduct and were encouraged to submit revisions & comments to Cindy by September 21 St. Once revisions have been made, the commission will approve via email so that staff can proceed in making more permanent signs to display throughout the facility. The YMCA is currently staffing the "Rec Room ". Youth attendance thus far has been very minimal. Volunteering Opportunities — We have not had any inquiries from the ad we submitted in the Sept/Oct issue of the Andover Today. It was suggested that we contact some of the local townhome and senior housing assn's to see if they could assist us in advertising for volunteer assistance. Once volunteers are established, Mr. Knight suggested that volunteers wear shirts or vests to help identify them. Other Business — City Staff Furlough — Erick spoke about the City Employee Furlough which has been implemented to help with budget cuts. The community center has been asked to reduce costs by $8,000 through the 1st quarter of 2010. Staff revisited their part time staffing needs and has been able to come up with a savings of approximately $6,500 through 1 st quarter 2010. City Council will re- evaluate at that time to see if the furlough needs to be extended. City Council Workshop/Tour — Erick and Frank will be presenting at the City Council Worskhop on September 22. An update on how the community center financials are going to- date and show that we've reach our goal in achieving revenues to help off -set the cost of bringing the concessions supervisor position to a full -time status with benefits. All commission members are welcome to attend this workshop. Next Meeting — Scheduled for Monday, October 12, 2009 at 6:30 pm at the Andover YMCA Community Center, Meeting Room B.
