HomeMy WebLinkAboutAugust 17, 2009 A NDQVER JP� Camm4n� emeer Community Center Advisory Commission Meeting Minutes Monday, August 17, 2009 6:30 pm Andover Community Center YMCA Poolside Meeting Room Call to Order — 6:37 pm Attendance: Mike Knight, Erick Sutherland, Ted Butler, Tony Howard, Kate Morphew Absent: Frank Kellogg, Mike Quigley, and Greg Voss Guest: Aaron Gardner, AHYHA Jr. Huskies Coordinator Approval of Minutes — July 13, 2009 — approved as written. Surveys — The survey revisions were reviewed by commission members and discussed. Each member was encouraged to have at least two individuals complete the survey to see if there are any additional revisions to be made. All revisions should be sent to Cindy ASAP. The final survey will need to be approved at the next advisory commission meeting on September 14 Staff will be soliciting local businesses for survey prizes and the commission approved that no more than $50 (out of pocket expenses) should be spent on supplementing prizes for the survey prize drawing. AHYHA Jr Huskies Ice Bill Request — The commission discussed with Mr. Gardner his intention of implementing a reduced Mite Registration fee if the commission approved his request in lowering ice bills. He indicated that he will be proposing to the AHYHA Board that each new Mite entering the AHYHA program would receive a $100 discount on their registration fees. Mr. Gardner also handed out to the commission a copy of the Jr. Huskies statement showing expenses, revenue and inventory. The Commission discussed the request from AHYHA and agreed that a limited number of discounted rate hours could be made available to this association who offers youth development program. The commission suggested for the 09/10 hockey season to offer a $100 off non -prime ice rate per hour. The commission suggested that that a pilot program be in effect for the 09/10 AHYHA hockey season beginning September 21, 2009. Aaron Gardener, AHYHA Jr. Huskies, estimated that for the 09/10 season that 12 hours would be used for a winter program and approximately 24 hours for a summer /fall program in 2010. Andover YMCA Community Center Advisory Minutes Continued August 17, 2009 Page 2 Since the Jr. Huskies '09 summer /fall sessions are nearly complete and have already been invoiced, the commission would give Jr. Huskies the next 24 ice hours at no charge to make up for the summer /fall ice fees paid difference. After these first 24 hours are exhausted, the AHYHA Jr. Huskies will pay the non -prime ice rate per hour with a $100 per hour discount. The commission requested that Mr. Gardner attend the next commission meeting to see what AHYHA Board approved as well as report the number of Jr. Huskies program participants who actually signed up for the 09/10 AHYHA Mite season. The advisory commission will make final motion to approve the above, pending the outcome of the AHYHA Board Meeting scheduled for August 17, 2009. Tony Howard and Aaron Gardner left the meeting at 7:15 pm Staff Update P & L July 2009 — Handed out and discussed After School Activities & Disciplinary Actions — The YMCA and ACC staff are currently working on a code of conduct. This code will also coincide with our disciplinary policy. Both of these documents will be brought to the next advisory commission meeting for approval as well as an update of activities and action plan for the students who visit our facility after school. Mr. Sutherland wanted to know the commissions feedback as far as a disciplinary action for those kids who are constantly being asked to stop running, playing in the elevators, etc. The commission felt that after a first warning being kicked out of the facility for a day and the 2 nd warning kicked out of the facility for a week. Mr. Sutherland wanted to ensure that the commission was prepared to support this protocol in the event parents did not agree on the action. Ms. Morphew said that all future parents /guardians whom have an issue with any disciplinary action are welcome to come to a future advisory commission meeting and discuss the matter with the commission. Other Business — Security Issues — Additional car thefts have occurred in both the East and West parking lots. Ms. Morphew would like to explore the option of outside parking lot cameras. Erick will invite Jim Dickinson to the next advisory meeting to discuss. Community Center Presentation — Is scheduled to be given at the Andover City Council Workshop on September 22 Both Erick and Frank will be in attendance and if any other additional commission members are available to join, it would be appreciated.
