Consider 2008-2009 Hockey Rink Schedule DATE: November 17, 2008 INTRODUCTION This item is in regard to considering the 2008-2009 hockey rink schedule. DISCUSSION To date the City has only received an application- from the Andover Huskies Youth Hockey Association (AHYHA). NOTE: Scheduling decisions will be made at the PRC meeting on the third Thursday in November. FOR SPRING AND SUMMER USE - FIRST THURSDAY IN MARCH FOR SOCCER, SOFTBALL AND BASEBALL. NOTE: Scheduling decisions will be made at the PRC meeting on the third Thursday in March. FOR FALL USE - THIRD THURSDAY IN JULY FOR SOCCER, SOFTBALL, FOOTBALL AND - . BASEBALL. NOTE: Scheduling decisions will be made at the PRC meeting on the third Thursday in July. It is the policy of the City of Andover to try to meet the recreational needs of its citizens. The goal of the Park and Recreation Commission in scheduling is to allot the limited number of recreational facilities in a fair and equitable manner, using compromise when necessary to accommodate the maximum number of requests possible. Facility requests submitted by the due date with this completed form will be given the highest priority. Subsequent requests will be filled on a first-come, first-served basis if facilities are available. The sequencing of scheduling will be considered with City youth associations having first priority. Haas, Assistant Public Works Director Subject: Item 5: Update in Regards to Scoreboards @ Eveland Fields/Andover High School Date: November 20, 2008 INTRODUCTION This item is just an update in regards to scoreboards for the south field at Andover High School/Eveland Fields. DISCUSSION As you may recall from the last meeting, the Park Commission requested staff to contact the Andover Athletic Association about potentially participating in helping fund the improvement for scoreboards. Staff has contacted Steve Gompertz, President of the Andover Athletic Association, about the request from the high school. Attached is e-mail that was sent to President Gompertz about the possibility of participating in the funding of the improvement. Note: Most likely the next time this will be discussed will be in January 2009. Budaet Impact As you may recall, the estimated cost for the scoreboard, wiring and mounting the scoreboard is about $8000. The school is proposing the city pay half or about $4000. Steve; Attached is the letter of a request in regards to the consideration of score boards at Eveland Fields by the Andover High School. As I mentioned to you on the phone, the Park Commission requested that I contact your association to see if there would be any interest from your board to help fund some of the project. As I understand, you will bring this up at the next meeting to present the request yet this month in November and consider taking a vote on this item in December. Review Outstanding Items DATE: November 20, 2008 Issues list as of 11/17/08 COMPLETED PROJECTS- . Sunshine Park Irriaation Well - Well the irrigation system has been check to make sure it was functioning properly but now the system has shut down for the year. Any questions regarding this, feel free to contact Dave Berkowitz, City Engineer, at 763-767-5133. ON-GOING PROJECTS - . Develop Site Plans for all existing parks which indicates the facilities available. (On-Going). . Andover Station North Ball Field Facility (prooertv south of the old landfill) - Things are moving along. The building has been insulated and the heating system is now working. The security system has now been installed. The countertops for the concession will soon be installed along with the floor tiling. Again as a reminder, the Public Works personal will be doing some of the work over the winter months so that the building will be open for spring baseball season. . Update of Park Dedication Improvement Fund Quarterlv Report - Next report will be in January 2009. . Update of Quarterlv Sheriff's Department Report on Park Patrol & Vandalism - Next report will be in January 2009. . Comprehensive Plan (Park & Open SDace ChaDter) -The city staff has now received some comments from Met Council staff. City staff will be working on the comments over the next couple months. ON-HOLD PROJECTS - None at this time. TASK FORCE UPDA TES - . Skateboard Task Force - (Hupp/Kowalewski) - The Task Force is meeting again prior to the Commission meeting. Commissioners Hupp and Kowalewski will lead the discussion and give an update as to where they are at with the skate park and the donation situation. Irri2ation of Citv Parks - Staffhas been directed to prepare a feasibility report for each of the parks that haye been identified as potential sites for irrigating fields. Consider Application for Scheduled Use of Recreational Facilities/Constance Free Church (Add on to hockey rink schedule) DATE: November 20, 2008 INTRODUCTION This item is in regard to considering approving the attached Application for Scheduled Use of Recreational Facilities for use of the hockey rink as requested by Constance Free Church. DISCUSSION The day that has been requested is as follows for your review: . Thursday, December 11, 2008/5:00 pm- 8:00 pm/Prairie Knoll Park. Note: Since these are one-day requests, the Commission may want to consider waiving the requirements that are to be submitted as part of the Guidelines to use the facility. Also attached is the proposed 2008-2009 hockey rink schedule. The Andover Huskies Youth Hockey Association will need to make sure that they do not schedule any teams that night to use the rink. ACTION REQUIRED The Park & Recreation Commission is requested to approve the Application for Scheduled Use of Recreational Facilities for use of the hockey rink at Prairie Knoll Park as requested by Constance Free Church.
