Advisory Commission Meeting Monday, March 6, 2006 7:00 pm Andover YMCA Community Center Community Room B Minutes 1. CalltoOrder-7:17pm Attendance: Mike Knight, Erick Sutherland, Jamie Durand, Dan Masloski, Andrea Melberg Thompson Absent: Jim Dickinson, Frank Kellogg, Todd Schoffelman, Linda Blackmore o Guests: Heidi Geiss, Youth First and Councilmember Julie Trude 2. Approval of Minutes - Monday, February 6, 2006 Minutes approved as written. Announcements: The commission welcomed its newest member, Mr. Dan Masloski. Mr. Masloski is currently the chair of the Andover Park Commission and will be replacing Devon Walton on theCommunity Center Advisory Commission. Mr. Masloski has been a resident of Andover for the past 8 years and taught at Andover Elementary School as a physical education teacher and currently works as the Recreation/Arena Manager for the City of Champlin. 3. Financial Update 2005 un-audited Community Center financial reports were handed out and discussed with Commission. Future financial updates will be brought forward to commission each January (un-audited end of year), AprillMay (approved audited report), and October (current year). o 4. Updates - Student Open Gym Activity/Staffing - The free after school open gym from 3 - 5 pm continues to be very busy. A college student has been hired and began last week supervising the Field House Monday - Friday from 3 - 5 pm. In addition, Youth First has added Tuesdays and Thursdays to their schedule, allowing them to be onsite Monday - o Andover YMCNCommunity Center Advisory Committee Minutes March 6, 2006 Page 2 Thursday from 3 - 5 pm. Youth First is looking into ways they can offer more structured activities for students to help channel their energies. They would also like the Community Center Commission to keep in mind, that in the event of a future building expansion, an area for youth would be greatly appreciated so that more "free" items (such as ping pong tables) could be added to help occupy teens. Ms. Trude felt that Fridays can't be ignored and cannot continue to be un- staffed in the concession lobby area. Erick will check into additional staffing resources. Mr. Masloski suggested that Erick become a member of Minnesota Recreation and Parks Associations (MRPA). Todd Haas, Assistant City Engineer for Andover is currently a member and. has been forwarding any pertinent emailstoErick.Mr. Masloski indicated that it would be beneficial for Erick to become an active member allowing him to network and have a support basis. Erick did indicate that the Andover Community Center is scheduled to host the next MRPA meeting on March 14th and that he'll purse the MRPA membership. o Facilities Manual - Staff is still working on compiling information to create a facilities manual on building rules and policies. Marketing Brochure - The Community Center brochure is at the printer and should be completed by the end of next week. Rental Agreements - The Field House is pretty much booked solid from the months of November 2006 - March 2007. An estimated $80,000 has been secured in reservations and contracts for 2006 rentals. Erick reminded commission that the pro forma for 2006. indicated $90,000 with budget set by the Commission at $40,000. With the pro forma amount nearly met, Erick would like to re-organize scheduling times to allow for more time between events to allow for set-up and tear-down and for overall customer service. The commission was very supportive of Erick's suggestion. o Erick also explained a request from a current customer who has asked for additional prime hours. The only way additional hours can be accommodated is to bump existing customers. Commission agreed with Erick not to bump other groups and to offer alternative times for customer requesting additional times. Erick would also like to establish set days/times for open gym allowing all 3 courts to be available. The evening and weekend open gym activity has increased significantly and one court is just not enough. Erick will touch base with current renters and review times to allow additional courts for o o o Andover YMCA/Community Center Advisory Committee Minutes March 6, 2006 Page 3 specific days/times as soon as possible. This fall, a weekday evening will be set aside for adult basketball from 8 - 11 pm to help fill later time slots. Again, Mr. Masloski stated that it would be an excellent idea for Erick to contact MRPA to see how other Community Centers are handling schedules and to figure out how to fill the 9-11 pm time slots as well as the 5-6 pm slot. Commission asked about summer rentals. Erick stated there are several week-long basketball clinics scheduled for the field house this summer. Youth First indicated that they have experience in coordinating summer programs for teens. Perhaps too to check with Dist. #11 Community Ed to see if they would like to reserve Field House for programs to help reserve summer space. 5. Other Business Ms. Trude wanted the Commission's thoughts on establishing a new Community Center entrance off of Nightingale St. NW. The City of Andover will eventually own all of the land to Nightingale and staff has begun talks of future city building eXlJansions. Commission felt that the current entrance off of Crosstown is not attractive and has the appeal of a "back alley". Mr. Durand, AHYHA, wanted to get time line of when the city felt that an additional sheet of ice would be added to the Community Center. Time line will aid AHYHA in securing future ice contracts with surrounding communities and they wouldn't want to commit to another site if Andover's site becomes available. Ms. Trude's suggestion to Mr. Durand is that AHYHA begin educating the public about AHYHA and the need for additional ice time. Perhaps an article could be placed in the Andover Today newsletter. Next meeting scheduled for Monday, April 3, 2006 at 7:00 p.m. in Community Room B at the Andover Community Center. 6.
