Advisory Commission Meeting
Monday, April 3, 2006

Minutes
1. Call to Order - 7:04 pm
Attendance: Mike Knight, Erick Sutherland, Andrea Melberg Thompson, Todd
Schoffelman, Linda Blackmore, Dan Masloski (arrived 8:30 pm)

2. Approval of Minutes - Monday, March 6, 2006
Minutes approved as written.
3. After School Update
Activity/Staffing - On March 23rd, the Community Center began having students
sign-in (indicating name, school and grade) during the after school student open
gym sessions. Numbers have ranged from 28 to 94 students per day. There is
an attendant in the Field House at all times during this student gym.
New Calendar - Since there are some weekdays that only one court is available
for the after school program, we've implemented a separate after school student
open gym calendar identifying when the high school and middle school students
can use the court. When two or more courts are available,. both MS and HS can
attend from 3 -5 p.m. Calendars have been handed out to gym participants,
posted on the website, QCTV and available in the Community Center lobby.

Next Year's Plan - Erick attended the City Council Workshop on March 27 and
the direction from council was for the 2006-07 school year to block out 2 courts
for the after school program, resulting in an approximate $8,100 rental sales loss.
Youth First Update - Heidi Geiss, Youth First, updated the commission on the
number of students that have been attending the YF activities (see handout

attached for those not in meeting attendance). Heidi also announced that April
20 is the Taste of Community Event at Green Haven Country Club. Proceeds
raised during this event support YF.
4, Staff Updates
Old/New Business Reference Sheet - Within the month or so, Erick will be
presenting a reference sheet identifying items that the ACC staff is working on.
Items will be moved under the appropriate headings and eventually leave this list
- it'll be a good tracking tool.
Marketing Brochure Mailing/Email Project - Approximately 350 emails have been
sent to coaches from schools located around the North Metro area with an
attached .pdf file of the new marketing brochure. In addition two copies of the
brochure and a cover letter have been mailed to approximately 60 local high
school athletic directors.

We are also currently working on compiling a mailing list of all elementary and
middle schools so that we can send them information on our facility to book
future field trips. The Commission suggested that we also send to the principals.
Andover Elementary students were at the ACC facility twice last week for field '
trips. The cost per student was $5, which allowed them to use the ice arena and
field house.
ACC Advisory commission suggested that we compile a list and work with Youth
First in asking the Andover Lions for donations towards youth programming.
Hoops Brochure - Hoops is an adult 5 on 5 adult basketball league that is
organized by ACC staff. Hoops is entering it's 3rd session, Spring League is
scheduled to begin Mid-April. The new brochure is displayed in ACC lobby as
well as available on website and posted at various locations including QCTV.
Newsletter - Commission suggested that rental information be put in next
Andover Today issue as well as the number of hours the meeting room has been
used by non-profrt organizations. If the Commission has an ideas for future
newsletter articles, please direct them to Cindy.
411/Phone Book Entry - The ACC is now listed under directory assistance 411
and should be included in the new phone books scheduled to be distributed in
April.

Family Passes/Punch Cards - Not many season passes are being sold, so staff
will be looking into implementing punch cards which can be purchased at a
discounted price. Punch cards will be good towards open gym and open skate
admissions as well as skate sharpening services.
Letterhead & Envelopes - New letterhead and envelopes are now being used by
ACC staff.

Other - A craft show was held in the Field House this past weekend,
approximately 82 vendors participated. There has also been some discussion
about the Home Improvement Show, which has been held at the Anoka Armory,
is running out of space so they maybe looking to hold future shows at the ACC
Field House.
5. Fun Fest Activities (July 7 & 8) at the Community Center
The carnival will be setting up in the West ACC parking lot July 5 - July 11
(allowing time for set-up and tear-down). Carnival vendors will be utilizing the
city park parking lot to park their RVs and campers. Tower Dr. will remain open
during the entire Fun Fest event with the exception of during the Parade. The
craft show will be held in the Field House and open skate will be available both
Friday and Saturday during festival hours. Additional staff will be assigned to
work this weekend for security and building staff needs. It was recommended
that a sign should be made by Public Works to ask that vehicles only use Tower
Drive for Emergency's to help with traffic flow. Erick will be speaking with Jim
about financial assistance during this weekend and also with the sheriff's office
for additional security assistance during the event.
Julie Trude asked if the ACC building was Recycling. Erick confirmed that
recycling containers are in various areas of the ACC building.

Other Business
Julie Trude announced that she has been appointed to represent the City of
Andover on the District #11 Community Education Advisory Committee Board
and that she is scheduled to attend a meeting in which they'll be discussing
financial commitment from the city. Currently the City of Andover has been
contributing $42,000 per year to the program. Some city's have pulled their
funding and have developed their own programs and have not noticed a change
in the community ed program offerings. It's something for the commission to
begin thinking about. . . it was discussed that the $42,000 could be used towards
hiring a program director to help fill space at the ACC as well as develop
additional programs in the parks. Julie will attend her first meeting later this week
and find out what the community ed program is able to do with the city
contributing its monies.
Next meeting scheduled for Monday, May 1, 2006 at 7:00 p.m. in
Community Room B at the Andover Community Center.
