Advisory Commission Meeting
Monday, June 5, 2006

Call to Order- 7:10 pm
Attendance: Mike Knight, Erick Sutherland, Todd Schoffelman, Frank Kellogg, Jamie

2007 Budget
Request was made to move this agenda item to end of meeting as Frank Kellogg hadn't
arrived yet.
Staff Update
After School Gym Update: May numbers have ranged from 3 to 69 kids with Fridays
being the busiest day of the week. Erick reminded the commission that it was decided
not to have Adaptive Sports (AS) back next spring due to the high number of kids
attending the after school open gym. However, after reviewing the last couple of
month's numbers and noticing a decrease in attendance during the Spring months, it
was decided to invite AS back for Spring 2007. AS has confirmed that they will be
utilizing our Field House again next spring resulting in rental fees of around $7,000.
When AS has two courts reserved, the after school open gym 3 -5 pm will be split for
Middle and High School students. AS does not meet on Fridays, therefore it won't
conflict with the higher student counts we've been seeing on Fridays.
Ice Update: The Ice has been completed and has reopened. The first group is utilizing
the ice tonight. Hockey Summer camps and open skate are scheduled to begin the

week of June 12th. The commission members commented on how nice the new husky
logo and ice looks.
Kid Adventure Classes: The Community Center in conjunction with Youth First are
sponsoring 5 separate kid adventure classes during the months of July & August. All
classes will be held at the Community Center from 10 am - Noon. Flyers were sent
home with students at Meadow Creek and Andover Elementary. Flyers posted in lobby,
city hall, sent to QCTV for cable broadcast and will appear in the July/August issue of
Andover Today.
Learn To Skate: Beginner I & Beginner II registrations are being accepted for the
June/July Learn to Skate program. The program is scheduled to begin June 19th.
Fun Fest: Staff has been working on Fun Fest promotional items as well as working
with the YMCA and Public Works in creating a picture frame magnet. Mike Knight
suggested extra security/staff for the building during Fun Fest weekend, Erick stated he
has had discussion with Jim and plans on adding additional staff that weekend.

Usage Statistics: Erick reviewed handout in packet. Facility booked almost to capacity
from Mid August to Mid March. Jamie suggested looking at Showcase for Summer
Hockey Tournaments to help fill time slots. At this point staff will continue to create
programs and get outside users into the facility during the summer months and day time
hours during the school year.
Goal Line Marketing: Erick has had discussion with Goal Line Marketing to assist the
Community Center in obtaining additional advertisers throughout the facility. Goal Line
is in the process of compiling information and will present to Erick in a few weeks. A
copy of the contract is at the City Attorney's office for review. Erick will contact Goal
Line to see if they can attend the next Advisory Commission Meeting to discuss
advertising opportunities.
Frank Kellogg arrived at 7:45 p.m.
YMCA Traffic Update: Linda Blackmore reported attendance numbers have
decreased during the Spring months. Back in January over 55,000 members visited the
facility with 43,000 visiting in May. Linda also distributed an event schedule to the
commission, showing the community events the YMCA has planned for the remainder
of the calendar year.
2007 Budget

Commission began reviewing the 2007 budget handout. Erick will need to present data
to City Administration on July 17th. It will go in front of city council this September.
Frank suggested that we add a column to the handout with "performa data".

Frank suggested that Erick have discussion with the video game vendors to see how we
can capitalize on demographics. Also to contact Pete at the National Sports Center to
obtain info on concession sales involving the grill/fryer.
Heidi Geiss left at 9:06 p.m.
Further discussion regarding the budget resulted in having the Advisory Commission
look at the handout and bring to the next meeting for discussion.
Other Business
Representing the AHYHA, Jamie Durand asked if the ice fees are being used to help
subsidize the field house since rentals are down and if ice fees will continue to rise to
help offset the field house costs. The commission reminded Jamie that the fees for both
the Field House and the Ice Arena were set in the performa and that the performa does
reflect an increase in fees over the years, which basically reflects a cost of living
increase. The facility has not increased fees from the set performa amount - so no the
ice rental fees are not subsidizing the field house.
AHYHA would also like to know how to start the process of formally requesting that the
city consider a second sheet of ice. The AHYHA continues to have a shortage and
calculates that by the year 2008, the association will be short more than 1,000 hours.
Todd suggested that a commission be formed to start analyzing the project.

Next meeting scheduled for Tuesday, July 11, 2006 at 7:00 p.m. in Conference
Room A at Andover City Hall.
