Absent: Tony Peterson, Val Holthus and Tony Howard Frank Kellogg called the meeting to order at 6:04 pm Agenda Approval Motion by Ted Butler seconded by Don Schmeichel to approve agenda as written. Motion carried unanimously. Approval of Minutes Motion by Ted Butler seconded by Allison Bees to approve September 10, 2018 meeting minutes. Motion carried unanimously. Discussion Items Expansion Update — At the last Andover City Council Workshop, the city council directed RJM Construction and 292 Design group to reduce the build cost of the potential expansion project so that Andover households would not be taxed any more than $100 per calendar year based on a home valued at $250,000. It was also determined to host two public informational meetings to help answer questions from Andover Residents about the potential expansion project. A postcard will be mailed to all Andover households with information about the meetings. The meetings are scheduled for Wednesday, December 12 at the Andover Community Center in the Field House and Monday, December 17 at Andover City Hall. An open house will be held from 5:30 pm - 6:00 pm, a Presentation from 6:00 pm - 6:30 pm and Q & A from 6:30 pm - 7:30 pm. Staff presented a draft version of the postcard and revisions were made. Motion by Frank Kellogg and seconded by Don Schmeichel to approve revisions to the public informational meeting postcard. Motion carried unanimously. Staff will forward revised postcard to Jim Dickinson for Andover City Council approval. Advisory members asked if activities will be held on the other courts in field house during the public information meeting. Erick suggested that all activities are cancelled during the open house. It would be difficult to hear a presentation with other users in the field house. Open basketball will need to be taken off the schedule on December 12 to accommodate the use of the field house space. MN Premier Volleyball has all 3 courts rented starting at 8 pm, so the meetings will need to be finished up by 7:30 pm to allow staff to clean up and set-up nets, etc. The advisory commission suggested that artist renderings are available at the public informational meetings showing the preliminary design of the expansion areas. Frank also suggested that all potential users and stakeholder groups are notified about these meetings so that they have an opportunity to attend. Andover YMCA Community Center Advisory Commission Minutes November 13, 2018 The next meeting with RJM Construction and the 292 Design Group will be held on Thursday, November 29, 2018 where revised cost estimates are presented. City Council Workshop — November 27, 2018 At the last city council workshop, it was also determined to add a referendum discussion to the Andover City Council Workshop on Tuesday, November 27, 2018. Mr. Kellogg questioned what role the advisory commission should have at this meeting and if items are needed to be prepared. Erick indicated that this is a discussion agenda item and that there are several additional items on the agenda for the meeting. Erick would like to contact Jim Dickinson and report back to the commission if anything is needed for the meeting. AHYHA Update — Tony Peterson provided an update to Erick to share with the commission in his absence. Season started last Sunday. The proposed co-op for Andover Girls Hockey did not go through so an Andover Girls Hockey Teams were formed as in years past. HEP testing is done. The AHYHA will not be hosting a Winter Classic Outdoor Hockey Tournament this year, instead they will be planning an event indoors to help raise money for the Hockey Day event in Bemidji that the Andover High School Boys hockey team will be participating in. They didn't want to risk an outdoor event being cancelled due to weather conditions. The Let's Try Hockey for Free Day was held last weekend and 30 participants attended. Erick also reported that the Andover High School Girls Hockey Team played the Edina Hornets (last year's state winners) last week and won 4 — 3. The rink was packed, and the girl's hockey season is off to a great start. Erick has a call into the AD at Andover High School to discuss the student section of the bleachers — as additional space is needed. Erick also wanted to note that Subway is looking into having a portable concession stand area in the rink for quick snack items during boy's high school hockey games. YMCA Update — Allison stated they are in their busy season with a goal of 300 units for November memberships. School release days are going well, and they are finishing up fundraising for 2018, with a goal of $105,000.00. The YMCA continues to work with RJM Construction on their potential expansion areas. The YMCA is currently working on their lease agreement with the city. Erick left the meeting at 7:05 pm. Allison stated they are hoping to have information to their general board in December. The YMCA continues to work on their R.O.I. ACC Update — Cindy reviewed the ACC status report and shared that 177 individual families have attended the Tot Time Open Gym program during the month of October. Tot Time program partners include the Anoka County Library, MedExpress and Parties that Bounce. New, this year the ACC has begun a partnership with Andover High School in which a student comes to assist with the program on Bounce House days. Cindy is also working with Kristy Wisniewski, Andover Fire Department, in putting together a safety clinic to offer during Tot Time Open Gym in January and February 2019. Andover YMCA Community Center Advisory Commission Minutes November 13, 2018 The Skate with Santa event is scheduled for Sunday, December 2°a at 3:30 pm. Don suggested that the monthly status report items be included in the meeting minutes, commission members agreed. Cindy will include the October/November items in minutes.
