Meeting called to order at 6:35 pm Agenda approved as written. Approval of Minutes December 12, 2016 - Approved as written. Develop Timelines A) Community Survey Questions City Administrator, Jim Dickinson will be meeting with the survey company to establish timeline. Survey will be administered before the school year comes to an end. Erick will send out copies of the city survey that was done before the facility was built as well as the survey that was administered in 2014. Commission members are encouraged to brain storm and come up with 3-4 questions for the survey. All commission members should submit survey questions to Cindy by Monday, February 6`" B) Develop Questionnaire for Current and Potential Stakeholders Ted will draft up a few questions and bring to the next advisory commission meeting. Commission wondered what type of questions was asked of potential stakeholders before the facility was built. Erick will check with Jim to see if there is any information available. Questions that could be asked are: How and why they are using the facility. What other facilities they are currently utilizing. How many additional hours /space is needed/desired. List out the pros/cons if additional space were added to the facility. The commission wants to make sure we ask these questions to the non -sports groups/free groups as well. Val asked about the frequency of using outside resources. She wants to make sure we aren't offering something that is not needed. C) Partnership/Participant Data Cindy will keep a master list and provide to commission as needed. Tony Peterson asked to have associations note why they've had spikes or decreases in their program participant numbers. How can we communicate with Andover residents? Cindy provided a list of contacts and areas that she uses to market programs and events. Joy also handed out a proposed communication plan. Frank asked Joy to condense the plan with hearing of limited resources. Cindy and Erick will speak with QCTV to see if they have ideas besides the current News and Views segments and bulletin board. The commission agreed that commission members could take turns writing some `Did You Know" facts and help explain what the value of the facility is to area residents and how the YMCA affects the community outside of the building. Andover YMCA Community Center January 9, 2017 Val mentioned that she is involved with the DECA program at Andover High School and perhaps some of the students would have an interest in helping us reach out to the community. Commission members also noted that Anoka County produces a newsletter and wondered if we could submit some information. Erick will speak with Jim to find out who produces and if it's available for us to submit information. 2017 Meeting Calendars After discussion items were added to the meeting calendar and Cindy will update the meeting calendar document. Ted will speak with the Andover Park and Recreation commission to see if they'd like to have a joint meeting to discuss survey questions in February. YMCA Update —Allison stated that 46,000 visits were made in December up from 39,000 in 2015. For the year 2016, 580,000 member visits as compared to 530,000 visits in 2015 (up 50,000 visits). The Andover Y membership goal is 280 new memberships. A new program session has started and the Y is kicking off their summer youth programs. Rally Day will be held in March. The after school student program continues to host 50-60 students each day and their Capital Y Partner's Campaign is 80% complete and will wrap up at the end of January. In 2016, $230,000 was given back to the community through memberships and $60,000 in programs. ACC Update — Erick reviewed the ACC Status Report and reminded the commission that we will appoint chair and vice chair at the February commission meeting. AHYHA Update — Tony stated that youth hockey is only 6 weeks from district playoffs. Jr. Huskie winter session has 80-90 participants. There are approximately 54 teams that will be participating in the Winter Classic Outdoor Hockey Tournament next weekend. Food trucks, silent auctions and tent warmers will be in place Thursday — Sunday. Mr. Peterson expects to host 2,000 + people throughout the tournament. The Anoka County Sheriff's office will be assisting pedestrians cross the street to the Sunshine Park Parking Lot. Commission Input — Ted mentioned that he has been experiencing great customer service at the facility and notes he felt it was important to mention as he realizes that there are a lot of new employees on staff. Possible date for the next commission meeting will take place on February 13`h and will be determined based upon if the joint meeting with the Andover Parks and Rec Department takes place.
