Absent: Tony Howard Meeting called to order at 6:32 pm Agenda Approval Approved as written Approval of Minutes July 20, 2016 — Minutes Approved as Written The proposed 2017 budget was approved via email by commission members on September 1, 2016. Potential Partners and Stakeholders The commission would like to see the following individuals added to the Potential Partners and Stakeholders list: Business Development Areas, Tradeshows, Retail/Commercial/Restaurant, Acceleration off -ice, hotel accommodations, arts & community. Frank suggested that at the next meeting, we start defining our community today. Demographics, etc. Commission members were assigned to find information and forward to Cindy so that information can be brought to next commission meeting. • Demographic Information - Met Council - Erick • YMCA 2012 Survey - Allison • Traffic Study Data - Erick • Demographic Census Data - Ted • Nerd Wallet Article - Cindy • Number of incoming senior housing communities moving into City - Erick • Survey that the City had done a few years back - Cindy • Economics/Construction Information - Frank and Ted • Identify strengths of YMCA Partnership - Erick and Allison • Taxes - Erick • Program Participation Numbers - TBD • Behavioral and Discretionary Income of Andover Residents - Joy • Create questionnaire to use when calling other "like" facilities - Erick and Tony Peterson Andover YMCA Community Center Advisory Commission Minutes September 12, 2016 AHYHA Update - Tony Peterson stated that Fall skills sessions had started and closed tryouts will start towards the end of the month. To -date there are 420 participants currently registered to participate in AHYHA for the 2016-2017 season. The total number of ice hours AHYHA will be using for the season is 1,356 hours. 785 hours have been secured at the Andover Community Center Ice Arena, 538 hours at the Super Rink and 33 hours at the East Bethel Ice Arena. Due to player demand and ice availability, AHYHA had to eliminate 2 teams this year and increase the number of players on rosters. The AHYHA will be participating in a high intensity program at the Super Rink throughout the season. This program will allow more players to be out on the ice at once, helping to give players more ice time. Changes for the Mite programs this year will include limiting the number of games to 6 and with games being played after January ls` only. This will allow the other AHYHA teams more ice availability. Frank asked Erick how many hours would be needed to sell to make another rink feasible. Erick estimated around 2,000. YMCA Update — Allison shared that 1,400 youth participated in Camp Guy Robinson. Between the Andover YMCA Community Center and Riverdale church, 450 youth participated in youth sports. Fall sports sessions started today and will run for the next 7 weeks. Allison sated that the capital campaign fundraising goal for 2017 is $125,000. Allison reported that $250,000 was given back to the community through scholarships, swim lessons, etc. Annual golf tournament will be held September 22 — 120 golfers are currently registered to participate. 128 memberships were sold in September and the goal for October is 200+. 45,000 member visits occurred in August. Corporate assessment has been completed. The YMCA should be receiving information soon. Allison will share with commission once the information becomes available. ACC Update — Erick reviewed items on staff status report. QCTV recorded the ice -out process and staff will send out to commission to view. The Andover Football Association recently donated $500 to the Tot Time Program so that new toys and equipment can be purchased. Facility scheduling software, Max Galaxy has been been purchased and staff will be meeting with vendor to establish a timeline for implementing new software. There are several pieces of the program and it's expected to take a good year before everything is up and running. Commission Input - Frank acknowledged staff and commission on a great job of balancing the proposed 2017 budget. Next meeting will be held on Monday, October 10, 2016 at 6:30 pm at Andover YMCA Community Center, Room A.
