ACC Commission Input Adjournment 10 15200 Hanson Blvd. NW • Andover, MN 55304, Ph: 763-755-3238 • Fx: 763-755-2129 Website: www.andovermn.gov/acc • E-mail: accinfo@andovermn.gov NDOVER CommunilJr Cewkr Andover YMCA Community Center Advisory Commission Meeting Minutes Monday, July 20, 2016 Andover City Hall Conference Room A In Attendance: Tony Peterson, Mike Knight, Tony Howard, Erick Sutherland, Ted Butler, Allison Boes, Frank Kellogg (arrived 6:32) and Joy Orvis (arrived 6:40 pm) Meeting called to order at 6:30 pm by Mr. Ted Butler Agenda Approval Approved as written Approval of Minutes June 13, 2016 — Minutes Approved as Written Marketing - Services and Activities Joy wanted to clarify the marketing of services and activities for the facility. When viewing items on Facebook and on the Internet, she felt that there was some confusion about YMCA programs vs Andover Community Center programs. The YMCA currently markets their programs and activities under the name "Andover YMCA Community Center" and City run programs are marketed under the name "Andover Community Center". The confusion Joy felt was in the name the YMCA uses to market their services. By using "Community Center" as part of their name in their marketing it appears to give the impression this represents all services and activities at the Community Center facility. Allison stated that their marketing materials and programs have always been branded as Andover YMCA Community Center and that this was in place well before her time. Regarding the facebook page, Allison shared that there are multiple Andover YMCA's throughout the US so it makes it easier for customers and members to find the Andover MN facebook page and not mistake other facility programs and schedules. Ted Butler suggested that both the YMCA and the Andover Community Center periodically throughout the year, share information and links to each -others facebook pages to help educate community members that there are two separate facebook pages. The city newsletter and partnership flyer (located in lobby racks) are also tools that staff uses to help educate facility users as to how the city and YMCA partnership was formed and what services are included in Y memberships, etc. Frank would like staff to provide an update to the commission at the next meeting on ways information will be shared with the public. It was also suggested that staff take a look at the lease agreement. Andover YMCA Community Center Advisory Commission Minutes July 20, 2016 Facility Fees Resident vs Non -Resident 2016/2017 — Erick researched other facilities and found very few facilities that charge a daily admission fee for open basketball admissions, most facilities have a membership. Erick shared that the community center is looking at purchasing a new software package called MaxGalaxy, which will allow the community center to start implementing membership cards to customers coming into playing basketball. He feels that with this new software, that there would be a need to raise non-resident fees at this time. The commission agreed and fees will remain $3 for Youth and Andover Residents and $5 for Non -Andover Residents. Stakeholders — Staff provided a list of current and potential facility stakeholders. Frank suggested that commission members send any additional stakeholder names to Cindy so they can be added to the list. Staff will bring a revised list to the next commission meeting. Budget Review/CIP — Erick reviewed the proposed budget with the commission and shared that wages for part time building supervisors would be increasing to attract more applicants and retain current employees. The commission suggested that the natural gas budget be reduced to $110,0004115,000. Erick spoke of the $60,000 parking lot CIP projected that is scheduled for 2017 and noted that the last fog seal was performed in 2013. Commission members asked Erick to clarify why the workers compensation was projected to increase. Erick will review items of mention with the Finance Department and provide information. A revised budget will be sent to commission members via email for approval. YMCA Update — Allison shared that the YMCA currently has around 440 youth attending summer programs. This includes Summer Power, Kids Stuff and Daycamp Robinson participants. On Thursday, July 28, the YMCA of the Greater Twin Cities will be celebrating 160 years! Special events will be held throughout the day. Allison will forward the monthly Y report to Cindy so that it can be forwarded to commission members via email. ACC Update — Erick reviewed items on staff status report. The NAHL Jr hockey team from Minot will be here this weekend for their final tryouts. Commission Input - Mike Knight shared that he is a member of the Metro Cities Association and that he recently attended a meeting that spoke about cultural changes. The latest trends, now appearing in suburbs, are: 25-36 year olds choosing not to be married but having children together and senior citizens that are moving in with their children or placing granny pods on their children's property. The commission asked if the City of Andover allows granny pods in the city. Mr. Knight said that he was not aware of anyone making an inquiry to city staff or council at this time. Erick handed out a document provided by the MET Council showing demographic information within a 3 mile radius of the Andover YMCA Community Center. Frank encouraged everyone to review the information and bring back to our next meeting if anyone has any additional discussion to add. Frank questioned if the facility has had any reports of break-in's or incidents, and noted that the addition of outdoor cameras on the facility is possibly the reason for the reduction of incidents. Staff mentioned that there has been vandalism in the purple park this summer and that the fire chief is in the process of looking to identify juveniles responsible for starting fires in the trash containers at the park. Frank, along with commission members again suggested how nice it would be for the sheriff s department to have a presence Andover YMCA Community Center Advisory Commission Minutes July 20, 2016 at the Andover YMCA Community Center. It was recommended that at the next contract negotiations between the city and sheriffs department that discussions include having deputies frequent the facility.
