Absent: Tony Howard, Allison Boes and Mike Knight Called the meeting to order at 6:40 pm Agenda Approval Approved as written Approval of Minutes Approval of Minutes has been tabled due to lack of quorum of meeting participants from meeting. City Campus Expansion Master Plan Frank Kellogg was unable to attend the city council workshop when the latest master plan was discussed, therefore he asked the commission to provide a recap of the meeting. Erick handed out two concept plans that were distributed at the council workshop for the commission to look at and stated that the city council was leaning towards approving concept D. Joy indicated that she had sent the concepts out to her neighborhood group and she received a lot of negative feedback from neighbors worrying about how public works truck traffic would impact traffic on Nightingale. There was discussion about the splash pad location and Frank suggested that Erick look at what other facilities such as St. Louis Park and Emma B. Howe have for splash pads and how they are operated. Frank asked Cindy to remind him to research the name of the community center facility in Michigan. Frank asked Ted Butler what the park commission thought of the concepts. Ted indicated the park commission likes the concept with the large open space option. The park commission would like to look at that area as offering adult programs, Frisbee, concerts in the park, etc. Erick indicated that the city council will be approving a concept plan at the February 16`h city council meeting. Frank asked Cindy to have Allison call him to find out where the Y is at for timeline of the expansion. Cindy will forward Frank's message. Andover YMCA Community Center Advisory Commission Minutes February 8, 2016 Frank asked Tony Peterson how the association's ice hours ended up for 2015-2016. Tony stated the AHYHA was still short 2-7S- 175 hours over and beyond what they purchased from ACC and the Super Rink. Tony is concerned as they have to turn kids away. The way it stands now, most teams have to share ice -hours during practice and the girls program is exploding. Ted also mentioned programs that Andover is not even offering due to lack of space such as Jr. Gold teams, a figure skating program as well as how little open public skate sessions are currently being offered. Frank asked Erick how many ice hours could we sell, if another multipurpose arena was built. Erick will have the information for the March commission meeting. Frank encouraged AHYHA to build a case from a fiscal standpoint first. To provide a business case then model the schematics. A Year In Review/Marketing Joy has been in contact with the River Valleys Girl Scout leaders and it sounds like the GS will be closing down a local camp. Joy wonders if we could offer camp type services here at the Andover YMCA Community Center. Erick and Cindy have scheduled a conference call with the River Valleys GS contact and will provide them with more information. Frank suggested that we offer some sort of free event for them to come and experience our facility. Discussion took place regarding how we want to move forward with the Year In Review presentation for the council. Commission felt that we should profile customers/organizations who utilize our facility and share how we are serving families and seniors. Share numbers, profiles and opportunities we have been unable to address due to lack of availability. Use graphs and charts. Remind council why the City of Andover built the community center. Looking at long term, where will the city be in 20 years. According to the MET council, Andover could reach a population of 45,000. Ted will look to see if he has the census information on Andover he shared with the group sometime last year. Frank asked Cindy to email him a reminder to look for the information he has on the old business plan when the facility was first built. He will forward to the commission. Staff Update YMCA Allison provided the following update by email in her absence. 1. We sold 276 memberships in January — Goal was 272. February membership goal is 186; we've currently sold 45 to date. 2. We're working diligently on our Annual Giving Campaign (fundraising) for 2016 - we've currently raised $65,000 towards our goal of $85,000 this year. 3. We have our Instructor Battle coming up on February 29th. This is the battle of our Group X classes. Flyer included — this is a fundraiser for the Y. 4. New Early Spring session starts February 29th with a wide range of youth programs that include: Release Days, Parents Night Out, Youth Sports, Dance, Home School, and Swim Academy. 5. March 5th is Summer Rally Day — this is the kick-off to Summer Programs that include: Summer Power and Day Camp Guy Robinson. 6. I have the 2015 Highlights and the Facility Usage data we spoke of last meeting — I'll bring that to the March meeting. Andover YMCA Community Center Advisory Commission Minutes February 8, 2016 ACC Cindy and Erick shared that a pickleball ratings clinic will be held at the Andover Community Center on April 16th. Rating judges will be from the Midwest Pickleball Club out of Eden Prairie. If the clinic goes well, the thought is to host such clinic 2 — 4 times a year. The 2"d Annual Andover Pickleball tournament will also be held at the community center May 6 — 8. Commission is encouraged to read through the status report that was included in their packet.
