Staff recommended setting up a tent in the lawn on the West side of the building, starting the event right after the parade commences, around Noon. It was noted to have Mayor Trude speak at the event. Staff will coordinate invitations. Commission felt the following individuals should be invited: • Main facility users • Anoka County Library • All Andover athletic associations • Present Mayor /Council • Meeting Room Users • Past Mayor /Council • Andover HS a YMCA Board • Andover Businesses • Facility Advertisers • Capital Campaign Members/Donor Wall • State /County Representatives • Governor Event to Include: • Small/Medium Tent — Cindy will check with Tony Howard. • A few Tables /Chairs • Beverage — YMCA? Culligan? • Pastry TBD • Facility Information r1 • YMCA Community Center Advisory Committee • Anoka Area Chamber & Metro North Chamber • City & YMCA Staff • RJM • Poster boards of facility layout • Poster board with Expansion Ideas • Promotional Items: ACC Pencils • Balloons (YMCA) Andover YMCA Community Center Advisory Commission Minutes © April 13, 2015 Marketing: • Press Releases • ECM/QCTV • Chambers • Andover Today Newsletter • Electronic Reader boards • Website/Facebook • Flyers at facility Mr. Butler and commission suggested that we create a public interest by putting some Q &A or fun facts about the community center on facebook or the webpage to generate conversation amongst the public. i.e. demand of facility, it's for all ages, fiscal information, etc. Expansion Original Sport Complex Task Force: Cindy had forward the original task force meeting minutes to Tony Howard and Frank Kellogg as requested. Mr. Kellogg asked the Cindy forward them to the other commission members are well. Mr. Kellogg encouraged commission members to review task force minutes and bring ideas or information that may assist in current building expansion discussion. City Campus Expansion Master Plan Firm: Erick has conveyed to the City Administrator that the advisory commission would like to meet with the hired firm to share community center expansion visions. Once a © firm has been hired, Jim will let Erick know as other groups have also requested to meet with the firm as well. RJM Estimate from 2012: The commission wondered if RJM could re -visit and update estimate. Ideally, estimate would include the addition of a multi - purpose sports arena (which would include ice) and any additional parking needs for the facility. If RJM is willing to provide a revised estimate, it should be accompanied with revised drawing and emailed to commission. Demographics: Ted Butler shared demographic information with the commission. Ted stated that Andover remains a young community. Ted contacted the Anoka Hennepin School district and according to their projections, they estimated a 6% decline for student enrollment. With all the new housing in Andover, younger families are moving into the area, Ted felt that the school districts estimate may be off. Ted also has spoke with the Met Council, according to their 30 year demographic plan, dated 2013, the following growth estimates for Andover are: 9.2% -2020 13%-2030 33%-2040 Met Council indicated that Andover is the fastest growing City within Anoka County. Ted feels that it is healthy for a community to experience demographic turnover and feels that we should not stop attracting new families into the community. Ted will follow up with City Administrator, Jim Dickinson to discuss city demographic data. u Andover YMCA Community Center Advisory Commission Minutes © April 13, 2015 Ice Hours Prime vs Non -Prime — Erick Sutherland shared ice hour data as follows: In season, prime ice hours (5 months /22 weeks) October — February, 45 prime ice hours went unused. Discussion amongst committee revealed that most of those unused ice hours occurred in October (tryouts ending/season not in full swing) and February (teams have ended their season/not continuing on to playoffs). Frank would like Erick to contact other ice arenas and compare the ACC usage statistics with other arenas. In addition, Frank also suggested Erick survey two sheet arenas and obtain data about pulling ice out, labor, R22, what other groups besides hockey do they serve, etc. AHYHA — Tony Peterson stated that AHYHA is working on a new U14 Cooperative Program that will be in place for the 2015 -2016 season. Two additional teams will be added to the AHYHA association, with estimates of 80 additional ice hours that will be needed for each team for the upcoming hockey season, or a total of 160 additional ice hours. Girls hockey programs are rapidly increasing. At the U8 and U10 girls' levels, AHYHA has seen a 30 -50% increase over the past 5 years. A lot of people are moving into the community for the hockey program. For the 2015 -2016 season AHYHA is estimating a shortage of approximately 860 hours. Hours that will © need to be purchased outside of the ACC Ice Arena. Expansion Discussion Summary: In regards to a multi - purpose sports arena, the commission agrees that....... We KNOW that ............... AHYHA and MN Hometown Hockey will buy XXX hours We PROBABLY KNOW that.... AHYHA and Hometown could host additional tournaments to help with off peak times. We POSSIBLY KNOW what .... ? Commission members need to think outside the box on how we could program this space during off ice season. Staff Report YMCA Update — In addition to the summary handout provided at meeting: • Approximately 70 part time seasonal staff will be hired for summer programs. • An estimated 1,200 kids will be attending Y camp this summer. • 22 teams will be participating in a 3 v 3 basketball tournament in April. ACC Staff Update — Summary provided at meeting • Home Show was successful, exhibitors were extremely happy with sales leads. • AHYHA Jr Huskie program continues to support the ACC 3 v 3 Program by letting youth use mite QAHYHA equipment for the program. Andover YMCA Community Center Advisory Commission Minutes April 13, 2015 Commission Input Ted Butler shared with the committee that the parks commission had a lengthy discussion regarding Andover City Parks. Ted felt that it may be a good idea for the parks commission and the Andover YMCA Community Center Advisory Commission to host a joint meeting. Ted also shared that future park CIP plans may include a Roller hockey rink located at the outdoor ice arena located just West of the public works building and pickleball courts to be located at the new 40 -acre Pine Hills Park North. Mr. Butler indicated that these CIP items are projected for 2 — 3 years from now. Tony Howard suggested that short, informational videos be made to attract more business to the facility. Several videos have already been made which include, an over -all facility overview, tot -time open gym, and a video about ACC party and group packages. All videos appear on the community center website under appropriate labeled tabs. Tony suggested making a video to specifically market the ice arena, to attract additional Jr. A level hockey team tryouts, etc. The next meeting will be scheduled for May 11th at 6:30 pm at the Andover YMCA Community Center.
