ANDOVER� ` © Cammun� Cenfer Andover YMCA Community Center Advisory Commission Meeting Minutes Monday, October 8, 2012 7:00 pm Meeting Room B In Attendance: Frank Kellogg, Mark Chevalier, Robin Chambers, Allison Boes, Mike Knight, Tony Howard (7:05 pm), Ted Bulter (7:08 pm), Erick Sutherland (7:45 pm) Call to Order 7:00 pm Approval of Minutes — September 10, 2012 minutes approved as written. YMCA Update Joiner's fees have increased so goal has been down. The Y was short 15 members from September goal. Mr. Kellogg had asked what percentage or total number of kids who participated in the 2012 Y Summer Programs were Andover residents: © Kindergarten Program — 57 Participants (26 from Andover) Summer Power — 304 Participants (165 Andover) Uproar — 71 participants (32 Andover) The majority of the summer programs were used by non - residents. Mr. Howard asked Allison if the YMCA would support the Anoka Hennepin School District if they re- opened the Oakview Middle School swimming pool. Allison indicated that she has already had discussion with both the school district as well as Jim Dickinson, the Andover City Administrator. The YMCA is open to the idea and would be interested in looking at the programming ideas, etc. The Andover YMCA currently has 500 kids in swim lessons. The Y does receive $7,500 from the City of Andover so that Andover Residents who are non -YMCA members receive a $35 discount on lessons. The afterschool program continues to be very busy, some days accommodating up to 90 kids per day. First YMCA YPartners golf tournament was a huge success. The Y raised $22,000. Plans are underway to host tourney again in 2013. © Harvest Fest will be held October 25th in the field house, 530 — 730 pm. Event is sponsored by the Andover Lions and Andover YMCA. On October 15th officials from the city of Austin, MN as well as the YMCA will be here for a tour — they are exploring the option of building a similar facility in Austin. Staff Update QStaff reviewed staff status report Discussed Sr. Programming and that the new 90 unit Sr. Building that is currently being built just north of Oak View Middle School is in progress. Mark Chevalier mentioned the super rink was hosting a "Halloween" Skate & suggested we do something similar in the future. He also asked if we would help AHYHA advertise "Try Hockey for Free Day" scheduled for November 3`d. Cindy to contact Ryan Conway, AHYHA. Erick attended the YMCA Board of Directors Meeting and shared information on how the city and YMCA are partnering together. The board appreciated the feedback and felt the presentation was very beneficial. Erick also attended the City Council Workshop where he presented the year in review for city council members. The council is supportive into looking at future building expansion ideas and has set aside approximately $300,000 to be used in 2013 to study and obtain architectural drawings. MN Premier Volleyball Request As discussed at the September 10, 2012 Advisory Board meeting, MN Premier Volleyball has expressed interest in signing a three (3) year agreement for gym use. The ACC Advisory Commission has reviewed the information and agreed to a three year agreement with the © following terms. Minimum 850 hours purchased during the season (Oct- April) Minimum 160 hours purchased during the off season (May— Sept) Prime Rate will be locked in at $46.00 per hour over the course of the agreement. Also, staff will discuss the possibility of expanding our marketing with MN Premier including signage, open volleyball nights and sharing contact information to promote events. Agreement approved unanimously. Other Business Ted Butler thanked the City Council for their work on the land purchase for additional playing fields to be built in Andover. Frank Kellogg asked City Staff and the YMCA to start a folder on references and testimonials. These will be useful as we look for additional partners and users. The Advisory Commission would like to develop a "How to" and "What to" when it comes to building expansion and the process to keep things moving.
